timepilot service schedule
Last reviewed 4 October 2026
Document version: timepilot-product-2026-10-04
This schedule is the product agreement for timepilot, operated by Ryan Peter Eyles, an individual/sole trader trading as RE Technologies, ABN 62 127 504 482. Read it with the LEVRTEK master service terms. Questions and notices for timepilot may be sent to legal@timepilot.au.
Agreement and authority
By expressly accepting these documents when access is offered, you agree to this schedule and the linked master service terms for yourself or the Company you are authorised to represent. Users must be at least 18 and authorised to access the Company's records. A negotiated written agreement prevails over this schedule, which prevails over the master terms for a timepilot-specific inconsistency. Non-excludable rights always prevail.
What the service does
timepilot imports Source documents, assists with extracting and matching work entries, highlights exceptions, records corrections and approvals, and exports eligible Line items. Image and PDF reading uses AI; structured Excel and JSON inputs use direct parsing. Only features enabled for your Company form part of your access. Direct payroll integrations and future roadmap features are not implied by a preview.
timepilot does not run payroll, interpret awards, calculate legal wage entitlements or certify compliance. Your downstream payroll or ERP system remains your financial and compliance system of record.
Review before relying on output
AI can omit, misread or invent values, including with a high confidence score. A confidence score is a review aid, not a probability or warranty of correctness. You must compare outputs with source records and check employee identity, dates, hours, breaks, rounding, custom fields, approvals and export destinations before use. Partial exports exclude unresolved or ineligible entries; you must review what remains and prevent duplicate payroll entry.
A timepilot approval records a user's decision. It is not an approval by RE Technologies to pay wages or a substitute for your employment, accounting or legal advice.
Your data and access responsibilities
You retain ownership of your records and grant us and our contracted providers the limited permissions needed to host, process, secure, support, return and delete them as described in the processing notice. You must have authority to supply employee information, give required notices, obtain any necessary consents and keep Company permissions current. Do not upload tax file numbers, bank credentials, identity documents, medical records or other unnecessary sensitive information.
Use named accounts, protect credentials and promptly remove access no longer needed. Report suspected unauthorised access to security@timepilot.au. Do not evade limits, introduce malicious material, access another Company's records or use timepilot unlawfully.
Commercial terms and changes
Creating an account or joining early access does not itself create a paid subscription. Prices, usage limits, included support, billing periods and taxes must be disclosed in a separate accepted offer before a charge is introduced. No payment details are requested under this schedule. We will not convert free access into paid access without agreement.
No uptime percentage, uninterrupted availability or recovery deadline is promised unless expressly agreed in writing. We may maintain or change the service, giving reasonable notice of a material adverse change or withdrawal where practicable. You may stop using it and request closure. Material contractual changes apply prospectively with notice and acceptance where required; a negotiated agreement changes only by agreement.
Closure and record keeping
An authorised Administrator may request Company closure. Export and retain necessary records before closure; Company closure is different from removing one member or deleting an individual's sign-in identity. Retained records are restricted after closure under the processing notice. Removal from a Company does not erase that Company's audit or employment records.
The default Company retention policy is two calendar years after closure, subject to an earlier lawful deletion request or a documented legal hold. This is not a statutory payroll archive. Australian employers generally must keep time and wage records for seven years; maintain the required records independently of timepilot and longer where another obligation applies.
Consumer rights, disputes and governing law
The master terms contain intellectual-property, liability and dispute provisions. Nothing in either document excludes or limits a right, guarantee or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. A general disclaimer does not remove those rights.
Contact legal@timepilot.au with a concern so we can investigate and seek a practical resolution. Queensland law and courts apply except where mandatory law or an agreed order provides otherwise. You retain access to courts, regulators and other remedies available by law.
